Overflow capacity for CPA and BAS firms

Add bookkeeping capacity at peak season without hiring, training, or turning work away. We do the preparation. Your team keeps review, advisory, and the client relationship.

You have the clients. You don’t have the people.

The supply of accounting graduates has been shrinking for years while compliance work keeps expanding. The gap lands on existing staff during peak season.

Your best people are doing data entry

Senior staff spend peak hours on reconciliation and cleanup instead of review and advisory — the work clients actually pay premium rates for.

So you turn work away

Or you take it and deliver late. Either one costs you the client relationship you spent years building.

What we handle

  • Bank and payment reconciliation — monthly, multi-currency where needed
  • Transaction categorisation — to your chart of accounts, not ours
  • Data cleanup and migration — catch-up work, backlog, messy client books
  • Report preparation — in your firm’s template and format
  • Year-end preparation support — schedules and workpapers ready for your review

What stays with you

  • Review — nothing reaches your client unreviewed
  • Submission and lodgement — your registration, your liability
  • Advisory and client contact — the relationship is yours, always
  • Judgment calls — anything ambiguous comes back to you as a question, not a guess

We never contact your clients. No email, no call, no software invite without your instruction and your client’s consent.

On compliance

United States. Bookkeeping and certain tax preparation work may be outsourced by U.S. accountants. This sits under IRS Publication 3112 and Revenue Procedure 2007-40, reaffirmed across multiple pieces of guidance since.

Australia. Compliance responsibility never transfers. Even when preparation is outsourced, accountability for lodgement stays with the registered agent. We work inside that boundary by design.

Everywhere. Client consent, data handling, and access scope are documented before any work starts — not assumed.

How a pilot works

  1. Pick the right clients. Two or three with straightforward books. Not your messiest ones — the pilot should test our process, not our heroics.
  2. Agree on what “done” looks like. Before work starts we write down the monthly reconciliation checklist, the report format you expect, and the chart of accounts for each client. If your own process is messy, we will say so — and that conversation is worth having anyway.
  3. Access, scoped. Limited user roles in your software. No shared admin passwords. NDA signed before data moves. We check your local rules and client consent requirements with you.
  4. Watch three things. How fast the work comes back. How accurate it is. And how quickly mistakes get fixed once you point them out. That third one is the real signal — errors can happen in month one, what matters is the response.
  5. Scale only with a reason. We don’t ask for more volume than the pilot justified.

What firms ask before they start

Is this actually compliant?
For U.S. firms, yes — see the guidance above. For Australian agents, responsibility for lodgement stays with you; we work only on preparation. We will tell you plainly if a task falls outside what we should handle.

How do we keep client data safe?
Scoped user roles, no shared admin credentials, NDA before work begins, and a written agreement on where data lives. Your client’s consent requirements are checked first, not last.

What happens if the work is wrong?
We fix it. And you will know quickly, because nothing reaches your client until your team has reviewed it. That review step is the control that makes offshore work safe — not our promises.

Can you work in our software and our format?
We work in QuickBooks Online, Xero, Excel, and NetSuite. If your firm standardises on a template, we follow it rather than imposing ours.

What does it cost?
Monthly plans start at USD 150. Scope-based, not seat-based — you are not paying for a licence. Quarterly arrangements are available at 75% of the monthly rate if you don’t need a monthly close.

What’s the minimum commitment?
One month. If you are not satisfied in month one, you pay nothing.

Who this is for

  • US CPA firms needing offshore bookkeeping support during tax season
  • Australian BAS agents facing peak-season workload with a fixed team
  • UK and Singapore practices that need reconciliation and reporting capacity without a local hire
  • Bookkeeping firms scaling past what their current staff can absorb

Who this is not for: firms looking for the cheapest per-hour rate. We are not the lowest cost option, and firms that select on price alone tend to be the ones that end up with rework.

Pick two clients. Run one month.

If it works, you have capacity. If it doesn’t, you have paid nothing and learned exactly where your own process breaks.

Book a 15-minute fit call

We’ll ask what software you use, how your clients’ books currently look, and what your peak season actually needs. If we’re not the right fit, we’ll say so on the call.
